Adding assets to collections

To group related assets, add them to a collection in a Helix DAM project. You can add new assets to a collection or copy assets from one collection to another to reuse them. New or copied assets are automatically version controlled and stored securely so there is no risk of overwriting or losing them.

You can add assets to more than one collection, but they are added as independent and unrelated copies. If an asset changes, copies of the asset do not change.

You can:

• Add new assets to a collection. See Adding new assets to collections.

• Add folders that contain assets to a collection. See Adding new asset folders to collections.

Adding new assets to collections

1. Open the project that contains the collection to add the assets to. See Browsing projects.

2. Open the collection. See Browsing collections.

3. Select the assets to add using one of the following methods. You can select multiple assets to add.

   • Select and drag the assets from your file browser to the open collection in Helix DAM. As you drag the assets, a dotted line surrounds the collection page to indicate you are adding the assets to it.

   • Click Upload and select Upload files. In the Open dialog box, select the assets to add and click Open.

4. In the Upload dialog box, review the list of files to upload. To remove a file from the upload, click the X next to it.

   Important

   Any files that are locked cannot be uploaded. Click the X by the lock icon to remove the locked file from the upload. See Locked assets.

5. Click Upload.

   The assets are added to the collection. If the collection already includes an asset with the same file name, that asset version is replaced with the new version you are adding. You can view asset versions to compare differences. See Viewing asset versions.

Adding new asset folders to collections

1. Open the project that contains the collection to add the new asset folder to. See Browsing projects.

2. Open the collection. See Browsing collections.

3. Select the asset folder to add using one of the following methods. You can only add multiple folders using the drag and drop option.

   • Select and drag the asset folders from your file browser to the open collection in Helix DAM. As you drag the folders, a dotted line surrounds the collection page to indicate you are adding the folders to it.

   • Click Upload and select Upload folder. In the Upload dialog box, select the folder to add and click Upload.

4. In the Upload dialog box, review the list of folders to upload. To remove a folder from the upload, click the X next to it.

5. Click Upload.

   The asset folders and any sub-folders are added to the collection. If the collection already includes a folder with the same name, any new assets are added. If the folder already includes an asset with the same file name, that asset version is replaced with the new version you are adding. You can view asset versions to compare differences. See Viewing asset versions.

Upload limitations

• By default, you can upload a maximum of 127 assets at once. If you try to upload more assets than allowed, the upload action is blocked and an error is displayed showing the maximum number of assets that can be uploaded. You can reduce the number of assets to upload and perform multiple uploads, or contact your Helix DAM administrator and ask them to increase the upload limit. • By default, you can upload a maximum of 4 GB of assets at once. If you try and upload assets totaling more than allowed, the upload is blocked and a 413 - Request Entity Too Large error is displayed. You can reduce the number of assets to upload and perform multiple uploads, or contact your Helix DAM administrator and ask them to increase the upload size limit.
