Using the Kanban board

Each Helix DAM project has a Kanban board, which helps your team visually track assets as they move through the workflow. For example, you can see the progress of an asset through its life cycle, from creation through release.

Company admins and project admins can show or hide a Kanban board for each project. See Configuring project settings.

The selected workflow determines which Kanban board columns are used to track the status of assets in the project. Company admins can create workflows. See Creating company workflows. Company admins and project admins can change the workflow used for a project. See Changing project workflows.

Opening a Kanban board for a project

  1. Open the project. See Browsing projects.

  2. Click Kanban board in the project navigation pane on the left.

The board opens. The number of assets in each column is displayed below the assets.

Opening an asset

To open an asset in a board, click the asset file name.

Changing asset status

To move an asset between columns to change its status, drag it from the current column to any position in the new column.

Filtering assets on a board

You can filter a Kanban board to only display specific assets. For example, you may want to filter the board by author to review work for each team member during stand up meetings.

To filter the assets displayed on the board, select filters at the top of the board.

  1. If the All repositories list is displayed, select a repository in the list. The All repositories list is not displayed for all projects. It is displayed depending on how the Helix DAM project was created.

Repositories are used to group collections. By default, the most recently created repository is selected. You must select a value.

    Tip

To search a filter list for a value, enter a few letters of the value and matching results are displayed.

  2. Select a value in the All collections/All streams/All branches list. The name of the list depends on how the project was created and your user type (administrator or designer).

A default value is selected. You must select a value.

  3. Select any other filters to further narrow the assets displayed.

  4. To clear an applied filter, click the X on the filter.

To clear filters and show all assets in the selected repository and collection/stream/branch, click Clear all filters.

Filtering assets in each column

  • To filter assets in a column by name or tag, click the magnifying glass in column. Enter the first few letters of the asset name or tag and matching results are displayed.
  • To clear an applied filter, click the X on the filter field.
