User view presets

User view presets enable you to customize your project view to hide or rearrange columns depending on the current work context. You can create multiple presets and easily switched between them. Users can also share presets to others in the same project while managers can apply presets to give new users a simple start with the tool.

Presets are specific to each section; Planning, Quality assurance and Product Backlog. For example, presets created in Planning will only apply to that area.

To use a preset, select Show > Change view to preset. This brings up a list of all presets available to you and selecting one will apply it to your current view.

To select and manage presets, click More > Manage user view presets to open the Manage user view presets window.

This shows you the presets you have created and those shared with you. Main managers can also apply their presets to other users, changing the users view immediately.

  • New - Creates a new preset. For more information, see Creating a user view preset.
  • New folder - Create a new preset folder, which are used to organise presets.
  • Duplicate - Creates a copy of the selected preset.
  • Edit - Change the settings of the selected preset. This opens the same interface used to create new presets. For more information, see Editing a user view preset.
  • Delete - Permanently removes the selected preset. For more information, see Deleting a user view preset.
  • Apply - Enables you to apply the selected preset to other users. For more information, see Applying a user view preset to other users.
  • This is only available to main managers.
  • Export/Import - Opens a drop-down menu with additional options:
    • Export selected preset(s) as XML - Generates an .xml file containing the selected preset settings, which can then imported on another P4 Plan server.
    • Export all presets as XML - Generates an .xml file containing all existing preset settings.
    • Import presets from XML - Enables you to select an .xml file containing preset settings to import them to the server.
    • When importing a preset you will be asked whether to also include the user share settings. User share settings determine which users will have the preset shared to them. You can change these settings while editing your preset.
