Editing workflow status settings

When you are editing a workflow, you can change settings to indicate what happens when an item's status changes.

1. When editing a workflow, select a status and click Edit. You can also double-click the status.

The Edit workflow status dialog box opens.

2. Make any changes to the status behavior.

Name and icon

Enter a status name and select an icon to represent the status. Select No icon if you do not want to use one.

When reaching this status

Field Description
Set work remaining on the item to X hours Enter the number of work remaining hours to add to the item when it moves to this status.
Set status on the item to Select the status to set on the item.
Assign to Click ... to select who to automatically assign the item to when it moves to this status. The Assign to dialog box opens. Select one of the following options and then click OK to save the changes.

Assign toSelect to assign the item to specific users and groups. Click Select users and groups. Select users or groups in the Available list and click > to move them to the Auto assign to list. Click OK.

Assign to the users who were assigned in workflow statusSelect to assign to the users who were previously assigned to the item when in a selected status.

Assign to original reporter/creatorSelect to assign the item to the person who created or reported the item. The item is automatically assigned to the original reporter/creator even if they are not the member of a sprint an item is in.

Remove all — Select to unassign the item.
Send email notifications to Click ... to select the users and groups to email when an item moves to this status. Select users or groups in the Available list and click > to move them to the Notifications to list. Click OK.

Mandatory data fields

Select the fields/data that a user must complete before the item can leave this status. For example, you can require a comment.

When status changes to

Select the status to set on the item when the workflow status changes.

When assigned to someone go to

Select the status to go to when the item is assigned to someone.

Field Description
Item must remain assigned to a user in this status Select to require an item in this status to be assigned to a user. The item cannot be assigned to no one. This is useful to prevent users from removing all assigned users from an item when reassigning it.
Hide in To Do List (use in end of workflow for clean up) Select to hide items in this status from user To Do List.
This status is unpublished, it cannot be found when searching all bugs Select to hide items with this status when searching all bugs.

1. Click OK to save the changes.
