Adding users and customers

Add users and customers to give them access to the Helix ALM project. You can create two types of users and customers:

  • Global users and customers are added to the Helix ALM License Server and can be shared among Helix ALM products. Global users need a username, password, and license, and must be in at least one security group to access a project. You can also retrieve existing global users and customers from the license server to add them to the project. See Retrieving global users and customers.
  • Local users and customers are typically created for tracking purposes and do not need a username, password, or license. Local users are created in Helix ALM or when issues are submitted via SoloSubmit, and are only available in the project they are added to.

1. To add a user, click Add in the Users list.

To add a customer, click Add in the Customers list.

The Add User or Add Customer page opens.

User and customer information is grouped in the following areas: Credentials, Licenses, Contact Information, and Notes. Click the Expand All button to expand all areas or the Collapse All button to collapse all expanded areas. Click a link to go directly to an area.

2. In the Credentials area, enter the user's First name, Middle initial, and Last name. You can enter up to 32 characters for the first and last names and up to 8 characters for the middle initial.

Note:  Multiple users can have the same first and last names. Make sure to enter additional contact information to distinguish between these users in Helix ALM applications.

3. Select Security groups for the user or customer.

Users must be added to at least one security group to log in. Users can be in multiple security groups. If any group a user is in gives permission to perform an action through command security or work with fields through field security, then the user has permission. Security groups are managed in the Helix ALM Client. See the Helix ALM Client help for information.

4. Select a User Type.

5. If you are adding a global user or customer, enter a unique Username. You can enter up to 128 characters.

Note:  Users with usernames and passwords longer than 32 characters cannot use Surround SCM or TestTrack 2016.0 and earlier.

6. Enter and confirm the Password. You can enter up to 128 characters.

7. Select any password options. These options are only available for global users and customers. Any changes are also applied to the user or customer record on the Helix ALM License Server.

You can only change these options if you have permission on the license server to manage global users or administer all license server functions, and permission to view user login information in Helix ALM.

  • User must change password at next login prompts the user to change the password next time they log in to a Helix ALM product. This option is not available if the User cannot change password or Password never expires options are selected.
  • User cannot change password restricts the user from changing the password. This option is not available if the User must change password at next login option is selected.
  • Password never expires prevents the password from expiring so the user does not need to change it on a regular basis. This option is not available if the User must change password at next login option is selected.

8. Click Manage API Keys to add an API key for the user or manage existing keys for the user. See Managing API keys.

9. Enter or select additional information in the following areas.

Area Use to:
Licenses Assign a license to a global user or customer. Only assign a license to a customer if you want them to be able to log in to Helix ALM. See Assigning licenses to users and customers.
Contact Information Enter the phone numbers, email address, and address and enter or select the company, division, and department. See Managing user and customer contact information.

You can also mark customers as a contact for a beta test site to help identify customers to send products to during the beta testing phase in a release.
Notes Enter any notes about the user or customer. You can enter up to 4000 characters.

10. Click Save.

The user or customer is added.
